AI AGENTS IN HIGHER EDUCATION: WHAT CAMPUSES ARE ACTUALLY BUILDING

Ask five people on a college IT staff what an “AI agent” is and you will likely get five different answers, ranging from a slightly smarter chatbot to a fully autonomous system that reassigns advisors and reroutes financial aid on its own. That confusion is not surprising. The term has been stretched to cover everything from a Canvas plug-in that summarizes lecture notes to a back-office system that reconciles a general ledger without anyone touching it. What has changed in 2026 is that campuses have stopped debating definitions in the abstract and started deploying the real thing, and the early results are giving higher education leaders a much clearer picture of what agentic AI is actually good for.

From Answering Questions to Getting Things Done

The distinction that matters is between a tool that responds to a prompt and a system that carries out a multi-step task with minimal supervision. A chatbot answers a financial aid question when asked. An agent notices that a student’s aid file is missing a document, checks the portal, drafts a reminder, and escalates to a human if the student does not respond within a set window. Dan Harder, chief academic technology officer at the University of Tennessee, Knoxville, has been candid about how far that second kind of system still has to go. His team’s UT Verse platform already helps students with everyday needs such as Wi-Fi access, dining options, and coursework support, but Harder has said accuracy remains the central obstacle to letting any of it run without a person checking the work (Mangan, 2025). That tension between ambition and reliability is showing up on nearly every campus that has moved past a pilot.

The Big Deployments Making Headlines

Scale is where 2026 looks different from the previous two years of cautious experimentation. OpenAI and the California State University system rolled out ChatGPT Edu to more than 460,000 students and 63,000 faculty and staff, the largest organization-wide deployment of its kind to date. Northeastern University took a parallel path, joining Anthropic’s Claude for Higher Education initiative to give its campuses access to a premium version of Claude that includes a “learning mode” built to support reasoning rather than hand students a finished answer. These are not pilot programs tucked inside a single department; they are infrastructure decisions made at the system level, and they signal that university leadership now views agentic AI capacity the way it views a learning management system or an ERP platform: as something the whole institution needs, not something a few early-adopter faculty experiment with on the side.

Where the Agents Actually Live: Advising and Support

The most mature agent deployments tend to sit inside advising and student support, probably because those functions involve exactly the kind of repetitive, rules-based, high-volume work that agentic systems handle well. Georgia State’s Pounce, one of the longer-running examples, has been credited with reducing the friction that causes students to quietly drop out between enrollment and their first day of class, simply by catching missing steps before they become missed deadlines. Penn State’s MyResource plays a similar role, giving students a single place to ask about advising, billing, or campus services at any hour rather than waiting on office hours. What both systems share is a narrow, well-defined scope: they are not trying to replace an advisor’s judgment, they are trying to make sure a student never falls through a crack that a human simply did not have the bandwidth to watch for.

The Back Office Catches Up

Student-facing tools get the attention, but the more consequential shift may be happening in administrative operations that nobody outside the building ever sees. Joe Abraham, CEO of the ed-tech company Intellicampus, has pointed out that advising platforms, enrollment tools, financial aid, billing, and the learning management system were mostly built by different vendors at different times and were never designed to talk to each other. Rather than ripping out and replacing those systems, institutions are increasingly using agentic orchestration to unify the data and workflows that already exist, coordinating across platforms without forcing staff to learn a new tool for every function. Higher education technology writer Tom Mangan has documented similar movement in human resources, where AI assistants are already drafting job descriptions and summarizing long email threads, freeing up staff time on campuses that do not have the budget to hire their way out of routine work (Mangan, 2025). Even research administration is starting to see this kind of automation: a framework built at Johns Hopkins University’s Agent Laboratory reportedly cut the cost of certain autonomous research tasks by 84% compared with earlier automated methods, an early sign of how much operational overhead agentic systems can strip out once the guardrails are in place.

Adoption Is Ahead of Governance

None of this is without friction. Aviva Legatt, writing in Forbes, argues that agentic AI is shifting from experimentation to execution across advising, enrollment, and operations all at once, and that institutions that fail to operationalize it deliberately will end up inheriting a “shadow system” they never chose and cannot fully control (Legatt, 2025). That warning lines up with what practitioners are describing on the ground. Jenay Robert, a senior researcher at EDUCAUSE, has noted that chatbots and agents are shifting from purely informational tools into active partners in campus productivity, but she is equally clear that the risk is people placing too much trust in AI-generated output and losing the context and judgment a human would normally apply. Surveys of technology leaders back this up: even at institutions that are aggressively adopting agentic AI, a large share still cite data quality and system governance as the biggest barriers to expanding it responsibly. Inside Higher Ed’s roundup of 2026 predictions captures the same split screen from multiple angles, with experts describing both real institutional momentum and a governance and faculty-buy-in gap that has not closed nearly as fast as the technology has advanced (Inside Higher Ed, 2026).

What This Means for Campus Leaders

The institutions getting real value out of agentic AI right now are not necessarily the ones with the most ambitious rollout. They tend to be the ones that picked a narrow, well-bounded problem, such as reminding students about a missing document or drafting a first pass at an HR job posting, and built in a clear point where a human reviews the output before it goes anywhere important. That is a less exciting story than “autonomous AI agent,” but it is the version that survives contact with a real registrar’s office, a real financial aid deadline, and a real student who needs an answer today rather than a system that is still being trained.
